Admin Usage
Admin Usage
Introduction
The system administrator plays a pivotal role in the Wapi ecosystem. Unlike regular business tenants, the Admin is responsible for the overall health, configuration, and commercial structure of the platform.
As an Admin, you control platform-level settings, define subscription tiers, and oversee the onboarding of new business users (tenants). Your configuration directly determines what features and limits are available to the rest of the ecosystem.
Admin Responsibilities
The Admin dashboard provides tools to fulfill the following core responsibilities:
- Create and Manage Subscription Plans: Define pricing, feature sets, and usage limits.
- Control Feature Access: Enable or disable specific modules (e.g., AI integration, bulk messaging) at the plan level.
- Monitor Tenants: Keep track of active business users, their subscription status, and usage metrics.
- Manage System Configurations: Setup payment gateways, email servers, and AI engine parameters.
Plan Setup ⚙️
Plan setup is the most critical activity for a Wapi Admin. It defines how you monetize the platform and what value you provide to your customers.
Steps to Configure a New Plan:
- 1. Navigate to Subscription -> Manage Plans section.
- 2. Click on "Add New Plan" to initiate the setup.
- 3. Choose a descriptive name (e.g., Free, Pro, Enterprise).
- 4. Configure Pricing: Set monthly and yearly subscription fees.
- 5. Set Limits: Define max agents, monthly messages, templates, and storage limits.
- 6. Feature Access: Use the checkboxes to enable specific tools like AI Config, Media Library, or Team Management.
- 7. Save the plan to make it available for registration and upgrades.
Feature & Permission Control
Wapi's granular permission system allows Admins to create tiered offerings. By enabling or disabling modules per plan, you can encourage users to upgrade for advanced functionality.
Example Tiers:
- Basic Plan: Limited tools, basic WhatsApp inbox, and 1 agent seat.
- Pro Plan: Full access to Automation Builder, AI Agents, and 10+ agent seats.
Tenant Management
Admins have full visibility into the tenant (business user) database. From the Manage Users section, you can:
- View all registered business accounts and their creation dates.
- Assign specific plans to tenants manually (useful for custom enterprise deals).
- Monitor usage stats to identify high-performing or over-limit accounts.
- Suspend or activate accounts based on compliance or payment status.
System Workflow (Admin Side)
Understanding the flow of data and permissions from the Admin level is key:
- Admin Setup: Defines the rules (Plans, Limits, Features).
- Tenant Signup: Business users choose a plan defined by the Admin.
- Enforcement: The system automatically checks the Admin-defined limits before allowing actions (e.g., sending a campaign).
- Monitoring: Admin reviews logs and statistics to refine platform settings.
7. Best Practices
- Keep Plans Simple: Avoid overly complex limit structures that confuse potential subscribers.
- Regularly Review Usage: Adjust limits based on actual tenant behavior to ensure system stability.
- Document Changes: If you update a plan's features, notify your tenants to maintain transparency.
8. Summary
The Admin defines the structure and commercial boundaries of the platform. All tenant functionality depends entirely on the Admin's initial configuration. Mastering the Subscription and Settings modules is essential for running a successful Wapi SaaS instance.
